Getting started
Four steps from an empty account to an invoice you can send. Most people finish them in well under an hour.

Add your first client
Clients hold the billing rules: currency, rate type, tax treatment, and the invoice template used for them. Every project and rate hangs off a client, so this comes first.

Add a project and a rate
A project is what you actually log hours against. Give it a rate and Takda knows what an hour is worth when it builds the invoice. A client with one workstream can keep the default General project.

Log your week
Open Timesheets and fill the grid. It saves as you go. Weekend cells count toward the week total even though the grid shows weekdays.

Generate the invoice
Pick the client and period, review the preview, and download the PDF. Getting here in your first day is the point of the product, so if anything blocks you at this step it is worth an email.
Timesheets
Logging hours, locked weeks, approvals, and evidence.
- Why can I not edit a week?
- A week stops accepting entry for one of three reasons. It has been submitted or approved and someone downstream is relying on the numbers. Its hours are already on an invoice, which is what finalises them. Or it falls outside your plan's history window, covered under plans and billing. A rejected week is always editable again, because rejecting exists to send it back for correction.
- My hours are saved but the totals look wrong.
- The weekday grid shows Monday to Friday, but the week total counts every entry including weekend work. If the row total is higher than the five visible cells, that is weekend hours, not a bug.
- Can I attach proof to a week?
- Yes, on any paid plan and on Free. Timesheet evidence lets you attach notes, links, and files to a week so a client query months later does not depend on memory.
- Who can approve a timesheet?
- Approval is a permission, not a job title. Anyone holding the timesheet approval permission can approve, and line managers can be given visibility into specific people rather than the whole organization.
Invoices
Generating, formats, currencies, and getting paid.
- What formats can I export?
- PDF. If a client needs a line changed or a reference added, edit the invoice in Takda and generate it again, so the PDF you send and the record you keep always match.
- Can I bill in a currency other than my own?
- Yes, on Solo and above. Each client carries its own currency, so you can invoice one client in USD and another in PHP while your dashboard reports in a single display currency.
- An invoice is showing the wrong hours.
- Check the period on the generate screen first, then the client filter. Invoices are built from timesheet entries inside the selected period for the selected client only, so a mismatch is almost always one of those two.
- Can I change an invoice after sending it?
- Invoiced hours are locked in the timesheet on purpose, so the document and the underlying entries cannot drift apart. Void the invoice to release those entries, correct them, then generate again.
Imports
Bringing existing timesheets in from a spreadsheet.
- What can I import?
- CSV and spreadsheet exports of existing timesheets. The import wizard reads your columns, proposes a mapping to dates, projects, and hours, and shows you a preview before anything is written.
- What are AI credits and do I need them?
- Credits meter the AI features: one credit per page of AI-assisted extraction, and one per message to the assistant. A tidy CSV imports with the deterministic parser and costs nothing, so credits are never required to use Takda. Every plan includes some, and packs start at PHP 99 for 40. See plans and billing for what each plan includes.
- The import mapped my columns wrongly.
- Change the mapping in the wizard and re-run the preview. Nothing is written until you confirm, so a wrong guess costs you a click, not a cleanup.
- Can I undo an import?
- Yes. An import is recorded as a batch and can be reverted, which removes the entries it created without touching anything you typed by hand.
Plans and billing
What each plan includes, limits, payments, and receipts.
- Is there a trial?
- No, and there is nothing to expire. The Free plan is the evaluation path: it is free for as long as you want it, covers up to 3 active clients, and never asks for a card. See pricing for what each plan adds.
- How far back can I see my timesheets?
- The last 2 years on the Free plan. Older records are locked, then deleted after at least 30 days' notice, and an admin can export them first from Settings. Paid plans keep unlimited history. The full wording is in the refund policy.
- How many invoices can I generate on the Free plan?
- Up to 15 a month, which comfortably covers three clients billed weekly. Regenerating an existing invoice to correct it does not count against that, and voiding one you no longer need frees the slot back up. Paid plans have no invoice limit.
- How many AI credits do I get?
- Free includes 20 credits once, when you start. Solo includes 20 a month, and unused credits carry over. One credit covers a page of AI-assisted extraction or a single message to the assistant. You can top up with packs at any time.
- What happens if my payment fails?
- Your plan keeps working through a short grace window rather than cutting off the moment a charge bounces. You will see a notice on the billing page during that window. If it closes without a successful payment the account drops to Free, with your data intact.
- How do I pay, and do I get a receipt?
- Cards, GCash, and Maya, through PayMongo. Every successful charge produces a numbered receipt, emailed to you and available from the billing page.
- Can I add teammates?
- Yes, on the Team plan. Solo is a single seat; Team includes up to 15, with roles and permissions and timesheet approvals for managers. You can move up from the billing page at any time.
Account and data
Access, permissions, exports, and privacy.
- Someone on my team cannot see a page.
- Permissions in Takda are granted individually, not by a fixed role. Role templates are a convenience bundle applied at setup, not the thing being enforced, so check the person's own permissions rather than their template.
- Can I get my data out?
- Yes. Invoices export to PDF on every plan, and CSV export of reports and invoices arrives with the Team plan. Your data is yours and there is no exit fee.
- How is my data handled?
- Covered in the privacy policy, including how long payment records are retained and why.
- Does Takda file my taxes?
- No. Takda shows tax reference figures alongside your invoices so you know what to set aside, but it is billing operations software and does not file anything with the BIR. Pair it with a filing service for that.
